Facility Rental Guidelines


1.The Community Association shall have the authority to cancel any event in the above mentioned facility and have the authority to remove, or have removed, any persons from the facility if it is felt that any part(s) of this agreement were broken or the facility is not used for the purpose for which this agreement is intended, or that the renter is not complying with the Liquor Control Act, the regulations under the act, as well as the policies of the Alberta Gaming and Liquor Commission and/or the Calgary Police Department. Whatever “legal and binding” conditions of the TGCA Rental Agreement that are felt to be a necessity by TGCA and renter shall appear as an attachment to this agreement. “Schedule A”

2.The damage deposit shall be applied in whole or in part to any expenses incurred as a result of damages or theft to these facilities and/or equipment during the time that the renter, or subsidiary party of the renter, was responsible for the access and use of the described facilities and/or equipment. Deductions also apply for extra time spent cleaning by our staff due to renter’s neglect or abuse.

3.The Thorncliffe Greenview Community Association (TGCA) shall not be held liable by the rentee, or subsidiary party of the renter, for any property damage, theft and/or personal injury incurred while using the TGCA’s facilities and/or equipment.

4.The damage deposit shall be returned (by mail) in total to the rentee upon a satisfactory inspection of the facilities and/or equipment by the TGCA following the completion of the above stated event, within 14 to 21 days.

5.Rent and floor plans are to be submitted to the office one week prior to rental. We accept cash, debit, visa, and mastercard.

6.All rentals are from 10:30am the day of the function until 3:00am. Should a hall rental stay past 3:00am, the group will be charged an additional service fee of $100.00 for every half hour or any part of, taken off their damage deposit. Functions which span the day and evening are considered two functions; fees apply accordingly.

7.Our public address (PA) system is not provided in the rental. Please make arrangements with your DJ or Band.

8.TGCA does not supply linen, china, silverware or stemware. No provisions for dishwashing.

9.Our complex is Non-Smoking as per Calgary Bylaw 57M92. It is the rentee’s responsibility to comply with this; any deference will result in a deduction or forfeiture of your damage deposit.

10.Obtaining a liquor licence, from the Alberta Gaming and Liquor Control Board is the responsibility of the renter. TGCA requires a copy of the permit to be posted during the entirety of the function. TGCA reserves the right to withdraw liquor privileges if the rules and regulations of the liquor licence are not being adhered to. No homemade wine allowed on premises.

11.Corkage Fee: it is the rentee’s responsibility to confirm numbers with the Control Person, the evening of the event, and must be paid at the time of the rental. For non-liquor functions, corkage is due with rent one week prior to rental.

12.Renter must have a current insurance policy and submit written proof to TGCA upon request.

13.Our bartenders are fully trained, ASIP trained and committed to customer service.

14.We have several 100 cup coffee urns that you are welcome to use; they must be booked in advance. Please supply your own coffee, cups, and condiments, or make these arrangements through your caterer.

15.Security is the responsibility of the rentee. The TGCA requires that there be one security person for every 50 persons. 

16.The space rented will be available for your use by 10:30am on the day of the function. Decorating/setup may be available the day prior to your function, please phone one week prior to your rental to see if this option is available. Should you gain access to the facility (decorating/setup only); the hall will be available to you from 12:00pm to 4:00pm

17.Absolutely no gel candles, confetti, rice, table sequins, sparkles, rose petals, etc. are to be used while on the TGCA premises (if used, deductions from damage deposit will apply).

18.Please refrain from using dance floor wax on our floors as it is damaging to the floors and carpets.

19.When decorating, please use only masking tape and thumbtacks. The renter must supply decorating equipment. All decorations must be removed immediately following the rental. The TGCA reserves the right to decorate the halls at their own discretion. The renter agrees to accept the hall as decorated and agrees not to change or remove the said decorations.

20.Electrical power to be used is our plug-ins only. For additional power we do have a power box that may be rented for $50.00. Sorry, we do not supply extension cords.

21.Ticket sellers, and coat check people, if required, are available at an extra cost of $16.00/hour.

22.There are 50, 5’ round tables, seating eight persons, available on a first ordered first served basis at an additional cost of $7.50 per table. 

23.Rectangle tables come with your rent and measure 6’ x 3’.

24.TGCA reserves the right to take photographs of the space prior to any function. All photographs will be used strictly for promotional purposes and are the property of the TGCA.

25.All deliveries made to TGCA on behalf of the rentee, must be delivered prior to 3:30pm.

26.The renter agrees to comply with all Alberta Health Services Food Regulations and Policies.

27.Should you need to cancel your function, we require 60 days notice and your damage deposit will be refunded less $25.00 Adm. Fee. Any cancellations received without 60 days notice will result in the forfeiture of the damage deposit. Transferring your damage deposit to another date, to avoid forfeiture of the damage deposit is not allowed.

28.No teen, all ages, raves, stags/stagette parties allowed.

29.No food allowed in public lobbies.
